The short version:

ChatGPT prompts for virtual assistants work best when they include the client's context, the exact output format, and a tone example, not just a task description. I've built a working set below covering inbox management, scheduling, research, content support and client reporting, plus a worked example showing a vague request turned into a usable prompt. The uncomfortable bit: most VAs are using ChatGPT to save themselves time but not telling clients, and that's a problem waiting to surface.

Why most VA prompts fail before they start

I've looked at a lot of prompt lists for virtual assistants over the years and most of them are useless because they're written as single sentences with no context. "Write an email reply to this client" is not a prompt, it's a wish. ChatGPT doesn't know who the client is, what the relationship is like, or whether your boss signs off with "Best" or "Cheers." A real prompt gives it that information every single time, or you build it into a custom instruction so you don't have to repeat yourself.

If you're doing

virtual assistant work

for multiple clients, which most freelance VAs do, you need prompts that flex between accounts without you rewriting them from scratch each time. That means building a template structure, not a one-off sentence.

The five-part structure every good VA prompt needs

  • tell ChatGPT who it's acting as ("You are a virtual assistant helping a busy consultant manage her inbox")
  • who the client is, what they do, what the relationship with the recipient is
  • the specific output you need, stated plainly
  • length, structure, bullet points or prose, subject line or not

Tone example

  • a real sentence the client has written before, so the output sounds like them, not like a chatbot

Skip the tone example and you'll get generic corporate mush every time. I'd say that's the single biggest reason VA-written emails get flagged by clients as "not sounding like me."
